Lighting Housing Lead Times: Sampling, Tooling and Production

Lead time is the question buyers ask most and the one most often answered badly, because a single number hides three separate clocks. Ask which clock is running and the answer becomes useful.

Read together, these explain why two projects that both say “about a month” can finish eight weeks apart. One is a repeat order on an existing body; the other is a new casting that has to be tooled, sampled and approved first.

Drawing approval is the clock start

Nothing meaningful runs before the drawing is approved, because sampling against a drawing that is still moving produces a sample that will be redundant. This is also the step where the most time is lost — not in production, but in the interval between a supplier asking a good question about a tolerance and receiving an answer.

A drawing with a revision number and toleranced critical callouts compresses this stage more than any supplier-side improvement can.

Why we quote dates rather than promise them

A date given in conversation is worth very little, because nothing records the basis on which it was given. What a buyer can actually hold a supplier to is a date stated in the quotation against a specified scope. So the answer to “how long?” is properly: the dates are confirmed in the quotation for each project — and then they are in writing.

The buyer-side delays that cost more than production

  • A late answer on a tolerance. Two days lost here is two days lost, and it happens at the start when the whole schedule is still movable.
  • Artwork arriving after the goods are made. Printed labels and retail cartons are a separate process step and cannot be compressed into the last week.
  • A specification change after sampling. It resets the sample clock, not just the production clock.
  • Certification documents requested at the port. Paperwork is prepared with the shipment; asking for it after loading turns a routine order into a rushed one.

Where stock changes the answer

For common surface-mounted body sizes in the 3″, 4″ and 6″ range, bodies are held in stock, so a top-up does not wait for a production run. That is not a universal answer — it applies to those sizes and not to a custom casting — but for buyers running a repeat programme it removes the sharpest edge from lead-time planning.
